3. Our Role in Handling Information

Infodazz processes information for different purposes.

For website enquiries, account registration, subscription billing and direct communications, Infodazz generally determines why relevant information is collected and processed.

For restaurant, finance and other customer business records, the subscribing organization generally determines the purpose of collecting and using personal information.

In such cases, Infodazz generally processes personal information as a service provider acting on behalf of the subscribing organization, subject to contractual terms and applicable law.

Subscribing organizations remain responsible for providing appropriate privacy notices, obtaining required consent and establishing lawful grounds for their own data processing activities.

Information may be processed for:

  • Delivering and administering our Services.
  • Customer registration and authentication.
  • Subscription billing and payment confirmation.
  • Supporting restaurant and finance operations.
  • Customer support and troubleshooting.
  • Platform security and fraud prevention.
  • System monitoring, backup and maintenance.
  • Compliance with legal and regulatory requirements.
  • Responding to lawful government requests.
  • Providing important product, security and service communications.
  • Personal information will be processed only for purposes supported by an applicable lawful basis.
  • We do not independently sell customer business data to third parties for unrelated marketing purposes.

6. Customer Data Ownership

Subscribing businesses retain their rights and ownership interests in the business records they create, upload and maintain.

Infodazz does not acquire ownership of customer restaurant or financial information solely because it is stored using our software.

Customers are responsible for the accuracy, lawfulness and authorization of the information they submit.

7. Government Audits and Lawful Disclosure

Infodazz may disclose relevant stored information when required or otherwise lawfully authorized by applicable laws, court orders, government directions, regulatory proceedings, investigations or valid audit requests.

Information may be disclosed to legally empowered authorities, including government departments, statutory regulators, tax authorities, courts, investigation agencies and cybersecurity authorities.

Depending on the request and applicable law, this may include:

  • Business account and registration information.
  • Customer identity and contact records.
  • Restaurant billing and transaction records.
  • Finance account and transaction information.
  • Collection and repayment records.
  • Subscription and payment information.
  • Audit trails, security logs and activity records.
  • Relevant documents and supporting records.
  • Infodazz will take appropriate steps to assess the authenticity, legal authority and scope of requests before disclosing information.
  • Where legally permitted, affected customers may be notified of the request.
  • Information will not be disclosed merely because an unrelated third party requests access. Disclosure will be limited to what is permitted or required under applicable law.

8. Data Sharing with Service Providers

Infodazz may engage third-party providers for hosting, infrastructure, payment processing, security, communications, technical support and other legitimate service purposes.

Such providers may process information only as appropriate for the relevant service and subject to applicable contractual and legal safeguards.

We do not disclose one subscribing organization's business data to an unrelated organization without appropriate authorization or lawful grounds.

9. Data Security

Infodazz will implement appropriate technical and organizational safeguards for the information it processes.

Depending on the system and applicable requirements, safeguards may include authentication, access controls, encrypted communications, security monitoring, system maintenance and backup procedures.

Authorized access to customer information is restricted based on relevant operational requirements.

Although we take reasonable measures to safeguard information, no online system is completely free from security risks.

Applicable personal data breaches will be addressed, and notifications issued, in accordance with legal requirements.

10. Subscription Expiration and Data Availability

Customer access to subscribed software and stored business information may be restricted, suspended or discontinued when a subscription expires, is cancelled or is not successfully renewed.

Customers are responsible for maintaining active subscriptions where continued access is required.

Information associated with an expired account may remain temporarily stored according to applicable retention schedules and contractual or legal obligations.

Infodazz does not guarantee perpetual storage or indefinite accessibility of data belonging to expired subscriptions.

11. Data Retention and Permanent Deletion

Infodazz retains information only for periods appropriate to the relevant service purposes, contractual commitments and applicable legal requirements.

Retention periods may vary depending on the type of information, customer relationship and applicable statutory or regulatory requirements.

After expiry of the relevant retention period, and completion of any legally required notice or other process, eligible information may be securely deleted or anonymized.

Certain information may be retained for longer periods where required by law, including applicable tax records, financial records, security logs, accounting records, litigation holds and regulatory obligations.

Information retained for legal purposes will remain subject to applicable access restrictions and confidentiality obligations.

12. Data Recovery Limitations After Subscription Expiry

Customers should download or export important records while their subscription and relevant data access features remain active.

If a subscription is not renewed and data is subsequently permanently deleted following the applicable retention process, Infodazz does not guarantee restoration or recovery.

Renewing an account after its data has been permanently deleted does not automatically restore previous records.

Where data is no longer technically recoverable, Infodazz is not obligated to reconstruct deleted business records, financial transactions, invoices, collection histories or other information.

To the extent permitted by applicable law, Infodazz is not responsible for losses resulting solely from customer non-renewal and the lawful deletion of data following the applicable retention period.

These limitations do not affect mandatory data protection rights, legal retention obligations or responsibilities that cannot lawfully be excluded.

13. Customer Responsibilities for Backups

Subscribing organizations are responsible for preserving copies of records they are legally or operationally required to maintain.

This includes applicable restaurant invoices, sales records, financial accounts, payment documentation, customer information and audit records.

Platform backup mechanisms, where provided, are primarily intended to support service continuity and disaster recovery, unless a separate backup or archival service is expressly included in the customer's plan.

Backups are not a guarantee that any previously deleted account can be restored.

14. Cookies and Website Analytics

Our websites and applications may use cookies and similar technologies for authentication, essential functionality, security, preferences and website performance measurement.

Non-essential tracking or advertising technologies, where used, will be subject to appropriate disclosures and choices under applicable law.

Users may manage cookies through their browser settings.

15. Individual Privacy Rights

Individuals may exercise applicable rights regarding their personal information, including access to information, correction, updating, erasure, withdrawal of consent and grievance redressal, as and when the relevant statutory provisions apply.

Requests relating to information controlled by a subscribing business should generally be addressed to that business.

Requests relating to Infodazz's own data processing activities may be directed to our designated privacy contact.

Infodazz will handle eligible requests in accordance with applicable law.

16. Children's Personal Information

Infodazz's administrative and subscription services are intended for authorized business users.

Where subscribing organizations process children's personal information through a supported product, those organizations are responsible for obtaining any legally required authorization or parental consent and complying with applicable safeguards.

17. Third-Party Websites and Integrations

Our platform may contain links or integrations with third-party services.

Those providers may maintain separate privacy policies and processing practices.

Users should review the applicable terms and privacy disclosures of relevant third-party services.

18. Data Location and International Processing

Personal information may be processed using hosting infrastructure and service providers supporting our products.

Any cross-border transfer or processing will be subject to applicable laws, restrictions and contractual requirements.

Customers with regulated data residency requirements must verify supported hosting arrangements before using relevant services.

19. Communications

Infodazz may send account, security, subscription, payment, maintenance and other essential service communications.

Optional promotional communications will be subject to applicable consent and preference requirements.

20. Changes to This Privacy Policy

We may revise this Privacy Policy to reflect changes in our products, data processing practices or applicable laws.

Updated versions will be published on the Infodazz Cloud website.
